What we collect, and why

Your consent
By writing to us, you consent to our use of your information to reply and follow up on your request. We will not use it for any other purpose without asking for your consent again. You can withdraw your consent at any time by writing to our privacy officer.
Cookies and tracking technologies
This site uses no cookies, tracking pixels, analytics tools or any technology that could identify you, locate you or build a profile of you. Fonts and images are hosted on our own server. If this changes, we will update this policy, and any such technology will be turned off by default.
Who has access to your information
Only Aixiom staff who need it for their work can access your information. We use a few service providers to run our services:
- Hostinger, to host the site and its technical logs;
- Supabase, to receive and store requests sent through the contact form (servers located in Canada, in Montreal);
- Resend, to forward each request to us by email (servers located in the United States);
- [EMAIL PROVIDER], for our email.
These providers only use your information to deliver these services to us, and our contracts require them to keep it confidential. We never sell, rent or trade your information.
Communication outside Quebec
Some of our providers may store information on servers located outside Quebec, including in the United States (Resend) [AND, IF APPLICABLE, THE COUNTRY OF YOUR EMAIL PROVIDER’S SERVERS]. Before entrusting information outside Quebec, we assess whether it will be adequately protected, as the law requires.
How long we keep information
- Server technical logs: [DURATION, for example 30 days].
- Requests and exchanges with people who did not become clients: 24 months after the last exchange. Requests received through the form are deleted automatically after this period.
- Client records: for the duration of the project, then six years after the end of the year concerned, as required by tax laws.
At the end of these periods, the information is securely destroyed or anonymized.
Security
The site is served over an encrypted connection (HTTPS). Access to our accounts is protected by strong passwords and two-factor authentication, and limited to authorized people. We keep a register of confidentiality incidents. If an incident presents a risk of serious injury, we will promptly notify you and the Commission d’accès à l’information.
Your rights
At any time, you can:
- find out what information we hold about you and get a copy;
- have inaccurate, incomplete or ambiguous information corrected;
- withdraw your consent;
- receive your computerized information in a structured, commonly used technological format, or have it sent to another organization;
- ask us to stop disseminating information about you or to de-index a hyperlink attached to your name, in the cases provided by law.
We make no decisions based exclusively on the automated processing of your information.
To exercise your rights, write to our privacy officer. We may verify your identity before acting. We will reply within 30 days. This is free, except for reasonable transcription or reproduction fees, which we would tell you about in advance.
Complaints
If you are unhappy with how we handle your information, please write to our privacy officer first: we will handle your complaint within 30 days. You can also contact Quebec’s Commission d’accès à l’information: cai.gouv.qc.ca.
Information entrusted to us by clients
When we build or automate tools for a client, we may have access to personal information held by that client. In that case, we act on the client’s behalf under the terms of our contract and use the information only to carry out the project. For questions about that information, contact the business concerned.
Our governance
To oversee the protection of personal information, Aixiom:
- has designated a person in charge of the protection of personal information, whose contact details appear above;
- limits access to information to the people who need it;
- carries out a privacy impact assessment before any information system project or any communication of information outside Quebec;
- keeps a register of confidentiality incidents and follows an incident management procedure;
- destroys or anonymizes information at the end of the retention periods;
- reviews this policy at least once a year.

We will publish any change on this page, with its update date. If a change affects how we use your information, we will let you know before it applies.
